Reynolds is committed to providing citizens of the community with clean, safe places to utilize for community based activities such as meetings, celebrations and events, educational programming, and skills training. The use of the Reynolds city property is anticipated to be primarily for the City and its entities first, its citizens second, and other individuals/entities as determined appropriate, third.

 

  1. Check the Reynolds home page to determine if the city property you'd like to rent is open for the day you'd like to rent it.
  2. Review the details on this web page (City Property Rental Agreement).
  3. Complete this online intake form to get your date reserved and the process started.
  4. Jen Skold (701.330.2495) will be in touch with you regarding pricing and arrangements.
  5. Once the pricing and arrangements have been established, complete the City Property Rental Agreement and send it to Jen (P.O. Box 176, Reynolds, ND 58275) along with the rental fee and cleaning deposit check. 

 

TERMS OF THE AGREEMENT
  • Due to the size the city hall the maximum number of attendees is as follows: meeting rooms = 12, lower level only = 150, main floor only = 200, and entire building = 350. No limits apply to the park.
  • An event rental fee is considered a one day rental, additional days will be charged an additional fee.
  • A day’s rental start time may begin at 8 a.m. and the rental end time must be done by 1 a.m.
  • The rental period includes setup time for the event and clean up time.
  • The application fee, deposit, and application must be submitted prior to or the day of the event. Make checks payable to City of Reynolds.” All returned or NSF checks will have a $30 per return fee added.
  • Upon request, the RENTER may use chairs, tables, or other equipment already in/on the PROPERTY.
  • During the term of the rental period the RENTER may have exclusive use of the main areas and rest rooms; the city hall stage area and side rooms, unless requested, will be restricted to emergency use only.
  • Decoration of the PROPERTY shall be done with only approved non-marring methods (e.g., painter’s tape).
  • Smoking is not permitted in the City Hall building.
  • The RENTER must remove all items that the RENTER and/or its guests bring into/onto the PROPERTY.
  • All trash generated by an event shall be removed from building and placed in outside trash receptacle by the RENTER.
  • REYNOLDS is not responsible for damage to, loss, or theft of property of the RENTER.
  • Should RENTER fail to return PROPERTY to its original cleanliness (inside/out), the deposit will not be returned.
  • Any and all damage that arises from or is related to the RENTER’s use is the responsibility of the RENTER. This includes, but is not limited to damage to the floor, walls, lights, restrooms, hallways, front entry, electronic equipment, etc. RENTER is to report and make arrangements for repairs with City Auditor (Jennifer Skold 701.330.2495)
  • When alcohol is available or for other events that may require an authorized security entity, the RENTER is responsible for the acquisition, arrangement, and all fees for and to the security entity.
  • No applications will be received from a minor.
  • In the event any of the conditions of this agreement are not complied with the event may be cancelled.
  • REYNOLDS reserves the right to deny rental based on availability and/or a determination that the proposed use is inconsistent with the mission or the policies contained herein.

 

 CLEAN UP CHECKLIST
  • Tables and chairs cleaned and put where they were found.
  • Sweep, mop, and vacuum floors, stairwells, and entry way in city hall; sweep and mop the park shelter.
  • Scrub marks off walls and floors.
  • Restrooms cleaned and garbage removed.
  • Kitchen appliances, counters, sinks, and floor cleaned and garbage removed.
  • Empty all garbage into the outside trash receptacle.
  • Shut off lights.
  • Outside of building and parking lot area cleaned of debris; cigarette butts picked up outside.

1Multiple Days – If RENTER requires additional days than that of the event (for decorating, housing supplies or décor, etc.) an additional fee per day will be added to the rental.

 

2Deposit – If PROPERTY has been cleaned sufficiently and suffered no damage, the check will be ripped up.

 

3Tables and Chairs – These are “free” with hall rental; this is when they are rented for out-of-the-hall.

 

4Reynolds Community Betterment – Make check payable to Reynolds Community Betterment not City of Reynolds.
